States and emails in PrestaShop

When referring to states and emails in PrestaShop, we are talking about the possible states that an order placed by a customer can go through, along with the email template that can be triggered when transitioning to a specific state.

There are several possible states that an order can go through. Some of them include:

  • Pending payment
  • Payment accepted
  • Processing in progress
  • Shipped
  • Delivered
  • Cancelled
  • Refunded

Additionally, custom states can be added, such as “Waiting for PayPal payment” or “Awaiting payment by check,” which can provide greater specificity to the order. However, adding more states may introduce complexity in managing them later.

Beyond the number of states to manage, the key aspect is the configuration of each state, which distinguishes one from another. Among the possible configurations, a state can mark the order as paid or shipped, and it can also activate the sending of an email with a selectable template that corresponds to the configured state.

Furthermore, from the Email Translations section, you can configure the email templates that come by default in PrestaShop, in addition to those provided by modules. Here, you can configure the text of the emails, including the subject and body, the data and variables to include, and also a customized footer, both in HTML and TXT versions.

While the default versions of these templates are usually correct and formal, they may not always match the tone with which the company communicates to its customers. If you want to add new email templates in PrestaShop, this functionality is not available by default and requires an additional module or certain technical knowledge to add them via FTP.
